Excel Engineering, part of the Excel Group, is a nationally recognised leader in industrial refrigeration solutions. We are seeking a highly organised and proactive Project Coordinator to provide essential administrative and coordination support across our industrial project portfolio.
This is an opportunity to work alongside experienced Project Managers and engineering teams, contributing to the successful delivery of technically complex projects. Ideally, you will be Tauranga-based and available full time, however some flexibility may be considered for the right candidate.
The Role
As Project Coordinator, you will provide high-level administrative and organisational support to ensure projects are delivered efficiently, accurately, and in line with company systems and processes. You will be the backbone of project administration, ensuring nothing is missed and processes are consistently followed.
Key responsibilities include:
Supporting Project Managers with project documentation, reporting, and administration
Assisting with project planning, scheduling, and programme tracking
Coordinating meetings, preparing agendas, and recording minutes
Managing document control, including drawings, variations, and compliance records
Processing purchase orders, tracking costs, and assisting with budget administration
Liaising with subcontractors, suppliers, and internal teams to ensure smooth communication
Assisting with health and safety documentation and compliance
Supporting project forecasting and financial reporting requirements
Maintaining accurate project records within company systems
What You Will Bring
Previous experience in a Project Coordinator, Project Administrator, or similar support role
Strong organisational skills with the ability to manage multiple projects simultaneously
High attention to detail and strong documentation capability
Proficiency across project management systems and Microsoft Office Suite
Confident communication skills with the ability to liaise across technical and non-technical teams
Financial administration or cost tracking experience is preferred
Ability to work under pressure and meet deadlines, with a solutions-focused mindset
